Position Summary 
 
The Project Delivery Director is responsible for the successful end-to-end delivery of customer projects, ensuring all services defined in the Scope of Work (SOW) are executed on time, within scope, and to CoffeeTree Group quality standards. This role serves as the primary point of coordination between internal teams, external partners, and customers, while also functioning as a subject matter expert throughout the project lifecycle. 
 
The Project Delivery Director plays a critical role in project governance, resource planning, documentation, and continuous improvement through the creation of standardized, branded project playbooks. 
 
Key Responsibilities 
 
Project Delivery & Execution 
• Own and ensure the successful delivery of all services outlined in project-specific Scope of Work (SOW) documents. 
• Manage project timelines, dependencies, risks, and deliverables from kickoff through completion. 
• Identify, escalate, and resolve project roadblocks to maintain delivery commitments. 
 
Stakeholder Communication & Reporting 
• Provide regular, clear, and accurate project status updates to all internal and external stakeholders. 
• Serve as the primary point of contact for customers, vendors, and internal teams throughout the project lifecycle. 
• Facilitate project meetings, technical discussions, and escalation calls as needed. 
 

Documentation & Playbooks 
• Create comprehensive project and job-specific playbooks documenting processes, workflows, roles, and technical configurations. 
• Ensure all playbooks are properly stored on the CoffeeTree Group SharePoint site. 
• Enforce CoffeeTree Group branding guidelines and documentation standards across all deliverables. 
• Continuously refine playbooks to improve repeatability, efficiency, and scalability. 
 
Scope & Resource Management 
• Review and provide feedback on Scope of Work documents prior to customer presentation and final approval. 
• Develop accurate resource estimates (labor, skill sets, timelines) to support proper pricing, staffing, and scheduling. 
• Partner with sales, operations, and engineering teams to align scope, expectations, and execution plans. 
 
Subject Matter Expertise 
• Act as a trusted technical advisor and subject matter expert for both customers and internal resources. 
• Provide guidance on best practices, system design, deployment approaches, and operational considerations. 
• Support troubleshooting and decision-making during complex or high-risk project phases. 
 
Required Qualifications 
• Strong understanding of technology used in the retail petroleum and convenience store industry, including: 
• Managed firewalls and secure networking 
• POS systems 
• Gasoline and diesel fuel dispensers 
• Forecourt controllers 
• Car wash systems and integrations 
• Demonstrated experience leading complex, multi-stakeholder technology projects. 
• Proven ability to translate technical concepts into clear, customer-friendly communication. 
• Strong organizational, documentation, and process-development skills. 
• Experience creating standardized operational playbooks or technical documentation. 
 
Preferred Qualifications 
• Strong background in networking, including routing, switching, VPNs, and firewall management. 
• Experience working with distributed retail environments at scale. 
• Familiarity with IT service management, managed services, or field service operations.
